Performs administrative and office support activities for multiple supervisors. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing.

KEY RESPONSIBILITIES

  • Manage the user access rights and permissions.
  • Manage End-user identification.
  • Maintain End-user roles and functions based on the job assigned.
  • Maintain the end-users complete profiles (access forms, termination requests,,, etc….).
  • New hired employee’s orientation and training on the use of HMIS and any Dallah hospital systems.
  • Prepares certificate of attendance to participants of Computer lecture.
  •  Actively involves in indicator development, data collection for the department and to measure the performance of the function, process, and outcome.  Whenever required, conducts analysis and interpretation of data/information collected.

Information Technology Officer

  • Act as Quality Improvement coordinator to facilitate and align the quality tasks with accreditation requirements related to departmental quality activities and maintain the departmental quality manual.
  • Document and control IT policies, procedures and plans.
  • Act as PMS Coordinator to expedite and complete the Performance Management System to receive, follow up, complete and send PMS forms to the HR Department.
  • Arrange meetings and appointments for the department head and monitoring meeting room schedule and readiness.
  • General office duties such as filing, faxing, emailing and typing of correspondence for listed departments.
  • Receives and disseminates written and verbal correspondence to appropriate department personnel.
  • Preparing and drafting correspondence, communications, letters, documents, briefing papers, reports and presentations and retrieving it when needed.
  • Follow up frequent activities such as vacations and overtime.
  • Notify and follow up assigned tasks to department staff.
  • Provide support and assistance for the help desk.

Information Technology Officer

  • Maintain confidential records and files.
  • Typing of all confidential communications and documents for all departments.
  • May be occasionally required to attend meetings of Department Head and record minutes.
  • Managing the Department Head calendar, arranging travel, schedules, visas and accommodation.
  • Keep an updated record of all contact information.
  • Respond to telephone, in person or electronic inquires or forward to the appropriate person.
  • Provide information or direct inquiries, as required.
  • Fully aware and actively implement the departmental policies and procedures, and JCI, ISO,CBAHI and Aramco standards or requirements related to the department.
  • Participate in hospital Safety Management & Risk Management Programs. Actively reports incidents in the system and whenever needed, participates in incident review, and root cause analysis.

Education & Work Experience Requirements

  • Bachelor Degree of CS.
  • 0 – 2 years experience in the same field.

Specialized Knowledge/Experience/Skills

  • Able to speak and read English and Arabic.
